Job Title: Administrative & Bookkeeping Assistant

Location: [Monroe, WA] | Type: Part-Time (20 hrs/week) Compensation: $20.00 – $23.00 per hour (DOE)

Role Summary

Are you a proactive problem-solver who thrives in a small-business environment? We are seeking a highly organized and detail-oriented professional to manage our daily bookkeeping, customer service, and general office operations.


Key Responsibilities

1. Bookkeeping & Financial Integrity

  • Full-Cycle AP/AR: Manage accounts payable and receivable, ensuring timely payments and collections.
  • Reconciliations: Perform daily bank and credit card entries and monthly reconciliations.
  • Tax & Compliance: Prepare and process monthly sales tax payments.
  • Inventory & Logistics: Handle P.O. receiving paperwork, inventory record adjustments, and day-end processing.

2. Customer Relations & Sales Support

  • Order Management: Take and convert client orders, including web order conversions.
  • Client Support: Answer phones with a kind and professional demeanor, processing customer returns and payments.
  • CRM Management: Maintain and update our Act! Software database to ensure clean client data.

3. Office Coordination

  • Administrative Support: Manage daily mail, filing, and general organization.
  • Team Logistics: Coordinate team meetings, including lunch logistics and taking minutes.
  • Facility Upkeep: Maintain a clean and stocked office environment (light cleaning and ordering supplies).

Candidate Requirements

  • Experience: Previous bookkeeping or accounting experience is a major plus, but we are willing to train the right person.
  • Technical Skills: Proficient in Microsoft Office Suite (Excel and Word). Experience with SAGE software is a major bonus.

Work Schedule & Culture

  • Commitment: 20 hours per week across 5 days (Monday–Friday).
  • Flexibility: We offer flexible start/end times to be discussed during the interview; however, once established, we require a consistent schedule.
